Employee Service Tools

Objective

The objective of this section is to create awareness of the various tools or softwares provided to the employees for their ease and for speedy services.

I. Employee Self Service (ESS)

The ESS is a web based portal and mobile based android application that provides HR online services to the team members. It can be accessed through personal login ID and password.

The android based Mobile Application can be assessed by downloading the ‘VNR ESS’ App from the Google Playstore.

The features provided in the Mobile App are;

  1. Profile: To view the basic profile details like department, designation, HQ, Reporting manager, contact details, insurance number, etc.
  2. My Documents: You can view and download ‘Medical Insurance Health Card’ , ‘Form 16’ and ‘Corona Insurance Card’ at your convenience.
  3. Punch: For submitting daily attendance by the field staff.
    • Daily Punch-in (during the start of duty) and Punch-out (during the end of duty) is mandatory for capturing time/location.
    • The access shall be available only to the field staff in Sales, PD, Production, SPR, FS, QA and other department team members having field jobs.
    • The Office/Lab/Plant team members will continue capturing their attendance through biometric machines.
    • R&D field staff at Hyderabad/Kohodiya/Gomchi will continue capturing attendance in the attendance register at Farm location or biometric machine respectively. Staff at locations other than mentioned here shall be required to punch attendance through the ESS App.
  4. My Team: 
    • Reporting: Reporting managers can view the list of immediate reportees with their contact details.
    • HOD: Reporting managers can view a list of team members upto 2 levels with their contact details.
  5. In Out Report (available for field staff only)
    • Self: Team members can see their date wise ‘Punch-In’ and ‘Punch-Out’ report for the current month.
    • Team: Reporting managers can see the monthly attendance, Punch-in and Punch-Out details of their team members.
  6. Attendance
    • Attendance: Team members can see their own attendance status. Any attendance regularisation request can be raised by the team member from this page.
    • Status: Any attendance regularisation request submitted by the team member and its status is displayed here.
    • My Team: Reporting managers can see the monthly attendance details of their team members in calendar view.
  7. Leave:
    • Leave Applications: Team members can submit leave applications to their reporting managers and can also view the leave history for the current calendar year.
    • Leave Balance: View of  leave summary and balance leave record.
    • Holiday: View of list of holidays available to the team members in the calendar year.
  8. Approval: (For reporting managers)
    • Attendance
      • Pending: Displays the list of pending applications for attendance regularisation submitted by the team members.
      • Submitted: Displays the previously submitted applications for attendance regularisation submitted by the team members.
    • Leave
      • Pending: Displays the list of pending applications for leave submitted by the team members.
      • Submitted: Displays the previously submitted applications for leave submitted by the team members.
  9. Query
    • My Query: Team members can raise queries to departments and also view the status of their previously raised queries.
  10. ATP: (available for field staff only)
    • My Travel Plan: Team members can mention their ‘Advance Tour Plan’ (ATP), the travel plan can be changed only for future dates and not for past dates.
    • My Team: The reporting managers can view the ATPs of their team members.
  11. Xeasy: Redirects to the Xeasy app for expense claims.
  12. Taxation: 
    • Declaration: The investment declaration form  filled for the current year is displayed. Team members can fill the investment declaration form and submit whenever it is opened by the HR.
  13. Salary:
    • CTC: Team members can view their CTC details.
    • Eligibility: Team members can view their eligibility details.
    • Payslip: Team members can view their payslip and also can download the same.
  14. Support: Name, Contact details of support team members from HR, Admin, Accounts, IT department for any information related to salary/PF/ESIC/insurance, taxation, IT, expenses etc. who can be contacted for any queries related to specific areas.
  15. Push Notification: Notifications related to any important message on attendance, leave, approval, HR circulars and communications etc. shall be visible.
  16. VNR Impact : Can view Latest Volume of the in-house magazine ‘VNR Impact’.
  17. Birthdays & Wedding Anniversary: Can view daily birthdays and anniversaries of team members.
  18. Password: Can change password of ESS.
  19. Help Document: Document that guides on the various features of the App.

 Application Access

  • The login id and password to access the app and its features is the same as the ESS web version.
  • You may send a request to HR for resetting the password.

II Xeasy

Xeasy is a web and mobile based application for Travel & Other expense submission for reimbursement purpose.

The App is present in both Android & iOS versions.

Salient Features

  1. Easy to access as it is available on Mobile app store and also web based.
  2. Login is same as ESS personal login.
  3. Direct upload of invoice/document for claims.
  4. Back-end support provided for claims entry, that can be verified and submitted.
  5. Real-time expense data capturing & uploading.
  6. The travel documents are to be submitted with reporting manager’s approval to accounts for records.
