Guidelines on Expense Claims for Holidays and Leave Days

General Awareness Program on Expense Processing

As per the process, expenses will only be approved for days when the employee is marked present in the HR attendance records. Since attendance for Sundays and National Holidays are not captured, these expenses cannot be approved at the verification level appropriately. However, reporting managers, being the best judges of their team’s work, are entrusted to review and approve such claims at their discretion, with appropriate remarks, for expenses incurred above and beyond regular working days.

Similarly, for days marked as CL, SL or any other type of leave:

1. For the current month: Correction in the current month attendance is allowed before the month-end. The same can be requested by sending a mail to “vspl.attendance@gmail.com” & compulsorily keeping the reporting manager & query ID (query@vnrseeds.comin CC.

2. For previous months: The days will be treated as absent days and expenses for those days will be deducted at the verification stage. We request the reporting managers to kindly review and if deemed appropriate, approve them with relevant justification, to be provided in the remarks column.
