Attendance Policy

Objective

Attendance is captured by various modes based on type of jobs and type of workplace; office, plant, laboratory, farm and field. The policy shall guide employee regarding the process of capturing attendance and the implications of missed attendance.

Attendance through Biometric Machine
  • The attendance at office location, laboratory and processing plant shall be captured through the face recognition biometric machine installed at such location.
  • Employees have to enter attendance into the biometric machine twice for recording complete attendance i.e. while entering and leaving work premise.
  • Those missing to punch will have to get the attendance authorised through ESS.
  • If the criteria of 8 hours is not fulfilled during in-punch or out-punch then it will considered as a late mark.
  • In a month, not more than two late exemptions within 15 mins will be provided.
  • There will be a deduction of half day leave for every 3 late marks.
  • The leaves considered for late deductions or no-attendance days will be CL and PL.
  • The attendance status can be checked online in ESS-Attendance module. It is advised to check the attendance regularly to avoid any deduction of pay (if absent) due to missing attendance.
  • Once the leave balance is over, the delayed attendance deduction will be marked as ‘absent’, leading to salary deduction.
  • official visit at out-location for whole day shall be considered as outdoor duty and will be marked accordingly. If there is pre-planned tour, meeting or visit outside workplace, then OD shall be applied in advance.
  • There is an option of applying for Work from Home (WFH) in specific condition like lockdown, pre-approved only by respective Management HOD, e.g.
Attendance through Other sources 
  • The field staff will have to send their attendance and reporting through the ESS mobile App installed in mobile to HR by 9:30am every day or as per the respective department reporting timing.
  • The attendance shall be reflected in ESS everyday. The employees need to verify the attendance and if any discrepancy is found, HR should be notified.
  • Regularisation of the attendance should be done as per defined process with required senior’s approval to be provided to HR for timely salary processing.
  • In case of ‘No-Attendance’, the employee will be marked as ‘absent’ and will lead of salary deduction.
